Associate Training Officer

The United Nations Department of Field Support is responsible for the delivery of applications that satisfy the requirements of the Departments of Peacekeeping Operations and Field Support (DPKO/DFS) missions as well as Special Political Missions (SPMs).

DFS has implemented a range of systems to address the principal requirements of peacekeeping operations and to support and enhance the processes DFS undertakes.

Umoja is the project approved by the General Assembly resolution 63/262 that aims at the transformation of the United Nations Secretariat by enabling high-quality, cost-effective service delivery to support the execution of evolving mandates everywhere the Organization operates.

Umoja, which means "unity" in Swahili, will unite the many support and administrative entities throughout the Secretariat, including in peacekeeping and field missions, through re-designed and common processes for the management of all financial, human and physical resources; a single integrated information system; and training of staff.

UNOPS has been requested to assist in the implementation of this activity.

Under the direct supervision of the Senior Training Officer, the Associate Training Officer will work with the Umoja Project Management Office (PMO) for DFS. The Associate Training Officer will perform the following duties:

• Support the Senior Training Officer in the coordination of the change management programme/project, its planning and preparation, including for end users, monitoring the status of planned courses and completion rates, and maintaining waiting lists and another relevant programme documentation.
• Deliver and facilitate online learning (WebEx sessions) of core HR and Travel modules, identifying and explaining the main core impacts with the Umoja Foundation solution
• Develop and maintain User aid materials and participant exercises by advising on likely business scenarios and providing feedback based on actual in class experiences.
• Develop, review and validate the HR and travel training curriculum, the compendium of training materials and ensure that the information therein meets training objectives and needs of end users.
• Identify gaps between existing materials and new Umoja developments and enhancements
• Participate in user groups outreach programmes by actively collaborating with Super Users to bring about business transformation through training, mentoring and coaching.
• Adopt the Train the Trainer approach in training and supporting support other Process Experts in the delivery of instruction for HR users.
• Provide procedural and policy related inputs into the development of training materials, SOPs and quick reference guides.
• Administer evaluation surveys and training effectiveness assessments.
• Provide triage support, ensuring timely issues identification, resolution and appropriate escalation.
• Conduct orientation briefings and training sessions.
• Assist the Senior Training Officer on the refinement and validation of the Master Course schedule for each rollout.
• Test Preparation: ensure that the test scenario, data, roles, User ID, testing environment are ready for testing.
• Test Execution: execute the test scenarios prior to any training delivery/workshop to make sure that all the exercise is fully tested
• Defects Management: inform Umoja process expert about defects in the execution of the test scenario, conducting retesting when defects are fixed

• Advanced university degree (master’s degree or equivalent degree) in Information Systems Management, Business/Public Administration, Information Technology, Social Sciences or a related field is required. 
• A first-level university degree in combination with a combination of relevant academic qualifications and work experience may be accepted in lieu of the advanced university degree.

• A minimum of 2 years of professional experience in training programs related to the organization, execution and delivery of trainings/workshops and conferences.
• Familiarity with the Travel and/or HR process and standards are desirable.
• Experience in Travel/ HR management within the UN system in a similar capacity or any other international organization, including experience in UN field missions is highly desirable.
• Experience in SAP Travel/HR projects and implementation is highly desirable.

• Prince 2 (Foundation or Practitioner) is highly desirable

• Fluency in written and spoken English is required. Fluency in one or more official UN languages is desirable.
