Archives Intern

UNOPS supports the successful implementation of its partners’ peacebuilding, humanitarian and development projects around the world. Our mission is to serve people in need by expanding the ability of the United Nations, governments and other partners to manage projects, infrastructure and procurement in a sustainable and efficient manner.

UNOPS is providing support to the UNOG Library’s Total Digital Access to he League of Nations Archives Project (LONTAD), through the provision of services, which includes procurement and personnel support. This project addresses the League of Nations Archives collection managed by the United Nations Office at Geneva, consisting of the digitization for a subsequent provision of online access to the complete records of the League of Nations during its existence from 1919 to 1946, including approximately 3 linear kilometres or 15,000,000 pages of materials and thousands of maps. While the inherent value of the original materials necessitates provisions for their long-term physical care, digitization can contribute to the overall preservation of the collections to ensure that people from around the globe can discover, use, and learn from these important records. 

Under the direct supervision one of the project Team Leaders or the Project Manager and in close collaboration with the other Project team members, the Intern will assist with the functions of a Team Analyst or Team Support Analyst. The Intern will be exposed to various archives functional areas and activities in accordance with those performed in the context of the Project; his/her main tasks will be related to the archives project in one or several of the following areas:

1.     Pre-digitization activities.

• Assists with basic physical preservation assessment and treatments.
• Assists with physical preparation of archives materials for their digitization.
• Assists archival processing activities by producing basic descriptive inventories; prepares mark-up of inventories for electronic dissemination.
• Performs and tracks transfer of archives materials to and from various project teams and storage areas; includes physical tasks including moving loaded carts and lifting archives boxes weighing up to 10 kilograms.
• Performs other related duties, as required.

2.      Post-digitization activities

• Performs quality control of digitized materials, including verification of image quality and accuracy and undertakes corrections as necessary.
• Assits with archival processing activities by producing descriptive inventories; prepares mark-up of inventories for electronic dissemination; and monitors adherence to description, database, and preservation standards, including ISAD(G).
• Assists with data transfers and import/export activities into various archives and information management systems
• Assists with processes related to the long-term preservation of digital content, including preparation of data and objects and ingest into a digital preservation system.

3.      Additional archives-related activities

• Assist with communication activities related to the project, including on social media
• Assist in the planning, preparation, and execution of events and visits related to the Project
• Assist in the development of user-oriented guides and tools to improve research
• Assist in the development and implementation of Project and UNOG Archives tools such as controlled vocabularies, thesauruses, and various procedures and standards
• Assist with administrative tasks related to project documentation, performance indicators, and data analysis

Professional working experiences is not required for this internship, but previous working experience in archives, libraries, museums, or other heritage institutions would be a strong asset.


Language

Fluency in French or English and knowledge of the other is required. Knowledge of another UN official language would be considered an asset
