Procurement and Supply Chain Practice Group

The purpose of the Procurement Group is to lead and develop the organization’s procurement strategy and practice.  The core functions are to:

• Articulate procurement policies and processes; enable operationalization and managerial oversight through appropriate systems and reports; provide corporate advice and guidance; and strengthen the knowledge, skills and career development of procurement practitioners.
• Enable UNOPS procurement of goods and services in a transparent, accountable and efficient manner in order to execute the organization’s business strategy.
• Identify and develop opportunities for the provision of procurement services for partners and ensure appropriate modalities for service delivery.

The core functions of the position are to:

1. Assist the Procurement Group with preparation and launce of new eCommerce platform. The assignments are:

• Assist in the maintenance of user guides & videos, training materials, templates, notes etc. for new eCommerce platform;
• Provide support in the development of materials related to change management activities;                  
• Make pertinent logistical arrangements for the prompt and effective implementation of activities related to the launch;

2. Provide support in the development of communication materials etc. The assignments are:

• Assist in the development and maintenance of content on www.unwebbuyplus.org and other related sites, such as news, information, FAQs, etc. on a continuing basis;
• Assist in developing content for internal as well as external newsletter to colleagues, clients and partners;
• Providing support to the team in production of communication materials such as fact-sheets, reports, statistics etc.

3. Assist the team in planning and execution of monthly meetings with key internal stakeholders as well as key clients, partners, suppliers and freight forwarders. The assignments are:

• Planning and scheduling meetings, including necessary materials and equipment;
• Coordinating agenda etc. with participants;
• Providing meeting minutes;
• Following up with the relevant parties on actions etc. agreed, providing status on these actions;

4. Provide support to the team in the production of briefs, work plans, project plans, meeting minutes and monitoring for the achievement of on-time delivery, and high quality of the launch of UN Web Buy Plus.

5. Actively assist and support work in ongoing work programmes in connection with the unit and team, which can include administrative support activities.

6. Monitoring and Progress Control

Impact of results:

• Impact on UNOPS image as preferred procurement agent in the UN system;
• Impact on UNOPS clients, partners, suppliers and freight forwarders trust in the organization;
• Impact on the execution of the procurement services and efficiency of the organization

• University degree (Bachelor) in International Studies, Economics or related field is required.
• Alternatively, high school diploma in combination with 4 years of relevant professional experience might be accepted in lieu of the university degree. 

• Experience with procurement or other related areas of business is required;
• Very good to excellent writing skills (English) required;
• Excellent organizational skills; capacity to handle several projects at the same time and the determination to meet deadlines, is required
• Work experience in UN Web Buy Plus processes, will be considered an asset;
• Work experience in procurement and supply chain processes, preferably in public sector procurement, will be considered an asset;
• Experience with stakeholder communications will be considered an asset.

Language: 

• Fluency in English is required. 
• Fluency in another UN language is considered a valuable asset
