Special
Assistant to the SRSG and CEO reports directly to the Special Representative of the United Nations
Secretary-General (SRSG) and Chief Executive Officer. S/he will be supervised
through individual meetings with the supervisor, weekly team meetings, and
through periodic performance appraisals.
Working directly with the SRSG and as
part of the Executive Front Office that supports the SRSG, the Special
Assistant to the SRSG and CEO will be a dynamic and highly motivated
professional providing effective support to the SRSG on a daily basis and
ensuring the SRSG’s operational effectiveness. The Special Assistant to
the SRSG and CEO will assist the SRSG in all aspects of her duties and will
interact with a wide range of people within and outside the UN system, across
member states and the business community as well as with the many partners of
and SEforALL. The position requires excellent judgement, discretion,
interpersonal skills, problem solving capability, and comfort with protocol.
This should be ideally underpinned with an analytical mind, clear writing skills
and ability to distill discussions, and political understanding.
Functional
Responsibilities
The Special Assistant to the SRSG and
CEO’s responsibilities will include, but not be limited to the following:
- SRSG Positioning. Liaise with the UN Secretary-General’s team
and contact for SEforALL to ensure that the SRSG is able to best serve the UNSG
and respond to specific requests.
- Lead “from behind”and interact with a variety
of partners inside and beyond SEforALL. The Special Assistant to the SRSG and CEO
will frequently interact with: staff at all levels within SEforALL, in Vienna,
Washington and New York; SEforALL partners including government officials,
United Nations (UN) organizations, multilateral development banks, bilateral
agencies, and partners in the private sector, civil society, universities and
research institutes, etc.
- Communications. Maintain a close working relationship with the
SEforALL Communications team and Director of Communications to ensure that the
SRSG is able to fully execute her role in communications. This position
includes exposure to strictly personal and highly confidential information and
issues of business confidentiality. Absolute discretion is expected.
- CEO briefings and products. Observe meetings of the Administrative Board
and the Management Team as required and to ensure that the SRSG is able to
function effectively as CEO of SEforALL. Communicate decisions to members of
staff and management on behalf of the SRSG and represent the SRSG on a specific
basis.
- Workflow management. Support the SRSG and working with the
Executive Office team in managing core workflow and outputs on a timely basis,
ensuring that the SRSG is able to execute her management and other
responsibilities and is prepared for all meetings. Ensure that all follow-up
from meetings and interactions is communicated to relevant staff and
authorities and is logged and concluded. Support equally core workflows within
SEforALL and provide guidance when needed.
- Travel.
Travel with the SRSG, as appropriate. As part of the Executive
Office participate pro-actively in the preparation of the travel calendar
for the SRSG and ensure that all trips are fully planned and optimized in
all respects, including travel arrangements, itinerary, meetings secured,
briefing materials, pre-briefing, speeches and other materials. While
travelling ensure that the SRSG is on top of her workload, liaise with the
office and others to ensure that the workflow continues., and ensure that
decisions made, contacts, made and discussions held are communicated in a
timely manner.
- The Special Assistant to the SRSG and CEO will also finalize notes and minutes upon
return from the duty trip and distribute as agreed, preparing the BTON
(Back to Office Note) according to practice on behalf of the SRSG.
