Administration Intern

Based in Geneva, Switzerland, the Europe and Central Asia Regional Office (ECR) supports UNOPS offices in the region, providing management and financial/programmatic oversight of Global and Country specific Portfolios, Clusters and Operations Centers including hosting services, fund management, management advisory services, implementing projects, procuring goods and services and managing human resources.

ECR operates its Global Portfolios from offices in Geneva and New York.  The incumbent will provide administrative and operational support to the UNOPS Geneva office. 

The incumbent is responsible to abide by security policies, administrative instructions, plans and procedures of the UN Security Management System and that of UNOPS. 

Provides reliable logistics and asset management support, namely:

• Participate in appropriate maintenance and safe and secure storage of all office equipment and property.

• Assist in preparing accurate inventory lists and adequate property records for the office as well as for projects.

• Careful monitoring of the movement of equipment into and within the area of responsibility.

• Implementation of an equipment management and accounting system for all equipment and properties managed by the office, in accordance with UNOPS equipment policy.

• Administering the receipt of goods and equipment for the office, inspection and report preparation.  

Provides administrative support to operations and project staff and clients, focusing on achievement of the following results:

• Participate in the administration and monitoring of all budgetary, financial, procurement and routine administration of service delivery under Geneva Management Budget; 

• In close collaboration with the supervisor, perform a Procurement ​official​​ role in oneUNOPS: C​reate/modify requisitions​, Create/modify suppliers, Create/modify purchase orders, Submit request for payments/prepayments for travel activities, payments, contracts.

• Assist in Maintenance of files records (hardcopy and online) of all operational and financial documents of the projects for easy reference and retrieval; document management, including file closures, archiving.

• Maintenance of a contract tracking plan, invoices and supporting documentation to ensure that services provided are in conformity with the terms of the contract.

• Assist in preparation of briefing materials as required for meetings and/or discussion on operations activities.

• Interaction with colleagues, clients and partners to exchange information on administrative issues and seek cooperation.  Assist in resolution of routine administrative and process problems, referring complex issues to supervisor with recommendations for course of action.

• Participation in the training events for the programme, operations and projects personnel on logistics and transport related subjects.

• Sound contributions to knowledge networks and communities of practice

• Use of technology and electronic systems and tools to initiate work, share information with colleagues and clients.
