Purpose and Scope of Assignment
Under the direct supervision of the International
Communications Senior Officer, and as a sub-set to the AFOC Programmes Unit,
the Communications Officer will be responsible for achieving the following
under the RSHQ program:
● Coordination of RSHQ program and project
reporting and ensure the timely drafting and development of precise, concise
and high quality reports, and the submission and circulation of said reports
internally and/or externally, as required.
● In consultation with the International Communications
Senior Officer, ensure effective monitoring of RSHQ project activities, in line
with logical frameworks, for use for objective and effective reporting to the RSHQ
Program Manager and all stakeholders as required.
● Provide quality assurance, including data
verification, on all reports and information products produced by the RSHQ project
teams by editing and consolidating reports for external distribution.
● Coordinate with RSHQ Project Managers and local
counterparts to obtain information on new developments as they arise.
● Liaise with the AFOC Programmes Office
regarding dissemination of reports and the accuracy of information included in
visibility materials and publications.
● Prepare ad-hoc reports and briefing notes as
required.
● Provide oversight and analysis of RSHQ project
delivery data from a reporting perspective.
●
Ensure
development of an updated Databases, GIS databases and archives.
●
Ensure the
successful implementation of the standard working procedures for IT and
information management to include the development of processes, guidelines and
manuals.
●
Provide technical
input to information exchange methodology.
●
Ensure
timely and accurate support to the RSHQ Program Manager, stakeholders and
implementing partners using information management assets available.
Coordination
●
Develop
and facilitate a Project Database that ensures service delivery driven by the
Concept of Operations and strategic priorities.
●
Develop
and facilitate the foundation and maintenance of information management
mechanisms to support the RSHQ Program and Projects, eliminate duplication of
service delivery, and provides a centralized information management system
structure to enhance program delivery.
●
Support RSHQ
Project Managers in oversight of Contractors’ personnel.
●
Coordinate
information management tasks and ensure timelines are met.
●
Act as the
Information Management focal point for the RSHQ program.
Information
management and reporting
●
Ensure the
maintenance, servicing and development of the RSHQ Projects Databases and tools,
and GIS databases, and associated reporting mechanisms and tools.
●
Ensure
quality assurance checks on reported data before, during and after data entry.
●
Oversee
the preparation and printing of informative maps with RSHQ projects and other
available data.
●
Produce
statistics, maps, charts, presentations and reports as required by the RSHQ
Program and Projects.
Capacity
development
Develop the internal information management
capability by way of professional capacity building, assessing training
requirements and providing internal mentoring, or requesting external training.
