Administrative and Project Assistant

UNOPS Brazil is responsible for managing strategic and operational risks associated with the countries’ portfolio of engagements, developing and delivering cost effective services contributing to partners' sustainable results and achievements of UNOPS management results. 
In the country, UNOPS has been making significant strides in developing the area of advisory services in infrastructure finance with private sector funding and operations. This includes public-private partnerships, concessions, management contracts, loans and other partnerships to support the national and local governments to address the challenge on how to prioritize and finance the infrastructure investment needed. 

In this sense, UNOPS Brazil opened a new office in Cuiabá, Mato Grosso in the end of 2016, facilitating the planning, execution and monitoring of strategic initiatives. The Development of Public-Private Partnership and Integration of the Health Network in Mato Grosso is a project that aims to strengthen the technical capacity of the State Government by structuring the City Health Network (CDS) with alternative financing models for infrastructure and management.

Under the supervision of the Partnerships Advisor, the Administrative and Project Assistant shall be responsible for performing the following duties:

a)          Provides financial and administrative support to the UNOPS Office in Cuiabá and projects in Mato Grosso focusing on achievement of the following results:

• Full compliance of financial/administrative processes and records of Mato Grosso projects with UNOPS rules, regulations, policies and strategies.
• Proper monitoring of project expenditures. Verification of accuracy of requests, completeness of documentation and availability of funding resources. Inform supervisor of budget status. Process for action and actively follow up to completion.
• Registration of suppliers and creation of purchase orders for the projects.
• Assist in preparing monthly reports, annual project reports, and minutes of project meetings.
• Gather information/data from the field and/or project team members and compile reports as requested.
• Assist in preparation of briefings and presentation materials.
• Be responsible for day-to-day correspondence and information sharing, ensuring that appropriate follow-up actions are taken.
• Make all necessary travel arrangements.
• Organize stationery and other consumables for the project team’s day-to-day operations.
• Maintain a proper filing system and document archives.
• Perform other duties to support the project team as required.

b)      Any other activity requested by the Partnership Advisor related to this Terms of References.

a)     Education

• University degree in Business administration, Finance, International Relations or a related field.

b)    Work experience

• 1 year of progressively responsible clerical work experience in administrative and support services or other related field.

c)     Language Requirements

• Fluency in written and spoken Portuguese and English.
• Spanish is an asset.

Contract type: Individual Contractor Agreement (ICA)
Contract level: LICA-5
Contract duration: 12 months, further extensions are subject to performance and funding availability.  Initial contract will be for a trial period of 3 months.
