Media and Communications Analyst

UNOPS strategic focus places increased emphasis on national capacity development and sustainable approaches to project management, procurement and infrastructure services.  A key objective is to be recognized as an organization that delivers world-class infrastructure and project management, which is both economically and socially sustainable, even in the most challenging environments. To achieve this goal, UNOPS has established the Infrastructure and Project Management Group (IPMG).

Within UNOPS, IPMG’s objectives are to serve the organization’s personnel and partners by broadening their infrastructure and project management capabilities, while disseminating best-practices in both of these areas. Through this work, the group helps facilitate the successful delivery of programmes and projects around the world.

To achieve its objectives, IPMG has established three interrelated and interdependent work streams, namely, Strategic Initiatives, Standards and Engagement Assurance. IPMG is managed overall by the Director of IPMG and supported by a Programme Support Unit, which provides support in administration, human resources, communication and finance.

UNOPS has been reevaluating some of its current workflows and is reimagining how the organization can communicate and collaborate more effectively in informal as well as formal ways. In this context, UNOPS is now operating and sharing knowledge through the Google Suite.

As a member of the Infrastructure and Project Management Group (IPMG) and reporting to the Support Services Specialist, the successful candidate will be primarily involved in the general communications activities of IPMG. In particular, the successful incumbent will be responsible for IPMG internal management and reporting tools, general communications, knowledge sharing and system architecture (including IPMG intranet) development and maintenance. S/he is expected to have a very good understanding of data management and Google suite tools and apps, with the aim to facilitate information dissemination and storage, visual reporting, and knowledge sharing in IPMG. S/he must have very good skills in stakeholder management and an excellent command of written English, and preferably another UN language such as Spanish, French or Arabic.

Functional Responsibilities include the ownership of various tasks, work packages and projects as outlined and assigned in the annual work plan for the Infrastructure and Project Management Group, as follows:

1. Communications and Knowledge Management:

• Act as main focal point for IPMG internal communications and ensure IPMG communication strategy for the practice is up to date and based on current needs.
• Act as main focal point and liaison with the Communications (CG) and Partnerships (PLG) Groups on a regular basis to ensure compliance with UNOPS standards by notably sharing UNOPS Communication standards and best practices.
• Provide support to all IPMG external related content, including, but not limited to, translation of content, review of external content, design of videos and infographics, design of fact sheets and posters, etc.
• Develop and implement information management structure for IPMG (in Google Drive).
• Provide technical support to communication related procurement exercises, including but not limited to translation, printing, publishing, etc.
• Create and maintain IPMG Intranet sites and pages, including but not limited to the text, videos and photos specific to the group, based on the technical inputs from the team.
• Write and edit a range of written content specific to the group for the IPMG intranet site and events.

• Identify areas for improvement of IPMG internal communications processes to enhance workflow.
• Support improvements to existing and new infrastructure and project management tools with focus on usability for project managers and field offices.
• Willingness and ability to learn all infrastructure and project management tools; providing guidance and assistance as required.
• Contributions to knowledge networks (via Google+ Communities platform).
• Perform other tasks as assigned by supervisor.

Monitoring and Progress Controls

• Setting standards, personal and development objectives in Performance Evaluation Review;
• Responsible for monitoring and reporting on set objectives and performance standards against the agreed Performance Evaluation Review and IPMG workplan; reporting on own progress against work plan.
• Ongoing assessment of task completion, which meets quality expectations;
• Successfully meeting deadlines based on workplan; and
• Completing progress reports as requested.

Education

• A first-level University degree or Bachelor's or equivalent in Communication, Journalism, Graphics Design or other relevant discipline is required.
• A Master's degree or a technical/professional license in relevant discipline may substitute for some years of experience.
• A technical/professional diploma, in relevant discipline, in combination of 2 years of experience may be accepted in lieu of a first-level University degree.

• 2 years of experience in a communications focused role (in combination with a Bachelor's degree) is required; 4 years of experience in a communication focused role (in combination with a technical/professional diploma) is required.
• Experience working with content management systems, such as metadata management, site architecture and Google Analytics is required.
• Experience/knowledge of Google Suite is required.
• Experience with Adobe Creative Cloud applications, in particular Adobe InDesign, is required.
• Experience with applying best practices for data management (metadata, content hierarchy, document libraries), workflows, import/export of data etc. is highly desired.
• Experience with online communications and social media is an asset.

• Fluency in English is required, with excellent English writing skills and copy editing.
• Fluency in Spanish and/or French is highly desirable.
