ICT Project Assistant

The United Nations  Office of Information and Communications Technology is responsible for defining strategic direction for ICT to the Secretariat. It provides oversight of ICT programmes, budgets and decision-making to ensure alignment with the Secretariat’s overall ICT strategy. The team consists of more than ­­300 people operating global data centers and coordinating services provided by more than 4,000 people in UN offices worldwide. UNOPS has been requested to assist in the implementation of this activity.

Under the overall supervision of the UNOPS/OICT Senior Portfolio Manager, the incumbent will be responsible for the performance of the following functions: 

• Provide general office assistance, set up and maintain files/records, organize meetings, physical space planning, identification of office technology needs, maintenance of equipment inventory, etc.;
• Perform other related technical and administrative duties, as required, e.g. cloud computing cost recovery, operational training, performs quality assurance procedures to ensure client satisfaction, recording of expenditures and facilitation of financial recovery;
• Compile, summarize and present information/data on specific projects (i.e. hybrid cloud computing implementation) and related issues;
• Assist with the submission and review of project documents, budgets, ensuring necessary approval and entry in computerized systems;
• Liaise with project management / admin groups in other locations such as UNGSC (Brindisi, Italy),  UNICT in Valencia, Spain as well as Offices Away from Headquarters and Regional Economic Commissions as required;
• Assist with monitoring status of project proposals and receipt of relevant documentation for review and approval;
• Assist in the preparation and coordination of internal and external communication materials;
• Perform other related duties as required. 

The result of work of the ICT Project Assistance impacts directly on the delivery of services that satisfy the requirements of the Department as well as the performance of the services implemented in the New York Headquarters. It will also ensure proper processes and methodologies are followed and implemented according to the established standards.

• High School Diploma or equivalent. A Bachelor or master’s degree in ICT, Finance, Human Resource, Business Administration or related field may be considered in lieu of experience.

• Minimum of 5 years of progressively responsible administrative experience  in an international/ multicultural organization in the field of ICT, finance, human resources, project management or other related fields is required. A candidate with a University degree must have at least one year of experience in the relevant area.
• Proficient knowledge of MS Office (MS Word, MS Excel and MS PowerPoint) is required.
• Proficient knowledge of MS Project and MS Visio is desirable.
• Experience in writing of various communications materials and related documents is required.
• Knowledge of the OICT, UN systems and applications and Staff and Financial Rules and Regulations is desirable.

• PRINCE2 Foundation and/or Practitioner certifications are highly desirable.

• Fluency in English is required. Knowledge of a second UN language is highly desirable.

The SDC is part of the New York Service Cluster that supports the United Nations Secretariat, as well as a broadening community of other New York-based United Nations organizations, bilateral and multilateral partners in the delivery of UNOPS mandate in project management, infrastructure management, and procurement management.
