1. Assist Team Lead in overseeing the day-to-day operations of ICA Administration (with a focus on either UNOPS or Partner Personnel)
2. Support the efficient administration of contracts, benefits and entitlements for UNOPS and Partner ICAs
3. Support in implementation of HR strategies and procedures
4. Support in the facilitation of knowledge building and knowledge sharing
1. Assist Team Lead in overseeing the day-to-day operation of ICA Administration (with a focus on either UNOPS or Partner Personnel)
● Monitor status of daily operations to ensure efficient ICA administration and report to Team Lead or office management, as necessary
● Monitor communications and shared inboxes, highlighting recurring issues/problems to the supervisor
● Support Team Lead in ad hoc HR admin campaigns and clean-up exercises
● Support management of record maintenance, including relevant data tracking and statistical summaries
2. Support the efficient administration of contracts, benefits and entitlements for UNOPS and Partner ICAs
● Perform a variety of routine tasks and duties related to HR, including but not limited to contract creation and issuance, supplier registration, processing COPs, Medical Insurance enrollment, UNC applications, Tax Attestations, updating HR data, etc.
● Monitor and track ICA Admin Team transactions to ensure timely, consistent and equitable provision of services to UNOPS and Partners
● Collection, verification and follow-up on required HR documentation related to benefits, entitlements and contracts
● Review of HR documents and HR data entries for completeness and accuracy for audit purposes
● Assist and support in management of HR data quality both in and outside the UNOPS ERP system
3. Support in implementation of HR strategies and procedures
● Full compliance of HR processes and records with UNOPS and Partner rulesets, regulations, policies and strategies
● Input to the content of internal Standard Operating Procedures (SOPs) on ICA administration in consultation with the direct supervisor and office management
● Support to ICA Admin Team Lead on management, implementation and monitoring of various HR initiatives
4. Support in the facilitation of knowledge building and knowledge sharing
● Participation in the trainings for the operations and implementation of HR-related projects
● Effective communication with other HR focal points within day-to-day operations to support successful provision of BSSC’s services
● Liaise with related parties on issues related to payroll payments, benefits and entitlements
● Contribute to knowledge networks and communities of practice, as appropriate
