The United Nations Office for Project Services (UNOPS) is an operational arm of the United Nations, supporting the successful implementation of its partners' peacebuilding, humanitarian, and development projects around the world. Austria Multi-Country Office (AUMCO)

The Austria Multi-Country Office (AUMCO) is part of the UNOPS Europe and Central Asia Region (ECR). Specifically, AUMCO aims to enable the achievement of Agenda 2030 and the Paris Agreement through global programs and tailored interventions in the Balkans, South Caucasus, and Central Asia, focused on: Infrastructure Procurement Project Management (full service, back on track) HR and Transactional Services, Grants Management, Technical and Advisory Services.

Project Information 

Under the framework of the multi-year project titled "Knowledge for Reform Action in the Western Balkans," funded by the Norwegian Ministry of Foreign Affairs, UNOPS is providing support in the six countries of the Western Balkans (Albania, Bosnia and Herzegovina, Kosovo, Montenegro, North Macedonia and Serbia) with access to tailored expertise, knowledge and best practice to assist with advancing their respective reform agenda. Learning and technical exchanges will be promoted across the Region, as well as from (neighboring) countries that have acceded to the European Union (EU). The project offers customized expertise and knowledge to government partners in the Western Balkans region: Albania, Kosovo, Bosnia-Herzegovina/BiH, North Macedonia, Montenegro and Serbia. Its primary goal is to assist the 6 countries in advancing their individual reform agendas toward EU alignment.

Background: Project Management Support Associate 

The Project Management Support Associate reports to and supports the Project Manager (PM) in all project procurement, event management (organization and logistics), travel related activities as well as supports the PM to coordinate all project support and operations. The Project Management Support Associate works closely with the PM in defining the procurement requirements and drafting the ToRs in accordance with the project needs and priorities as defined in the results framework and ensures compliance with the relevant internal processes and procedures. In addition, the Project Management Support Associate maintains all project contracts with external service providers (including the technical experts) in order and ensures that the milestone payments and other contractual obligations are fulfilled by all parties. In reference to the project communication, the Project Management Support Associate collects the project specific information and supports the PM in establishing a document management system and controlling system (experts deliverables monitoring, KPIs), and update/maintain the project monitoring dashboard, contributes to the preparation of the information flashes and regularly update the project website (in close cooperation with UNOPS communication specialist). Project Management Support Associate supports the PM on planning and organizing of thematic events, as per the project needs and requirements (operational support, drafting the event ToRs for the organization of logistics and processing payments, overseeing compliance with internal rules and regulations). In relation to the project monitoring missions, the Project Management Support Associate facilitates the mission of the team members, experts and other members of AUMCO, when relevant, through travel related activities (purchase of tickets, processing DSA and terminals) and protocol related activities. The Project Management Support Associate ensures coordination with the AUMCO support services team (in particular communications, HR and procurement) and supports PM in carrying out activities related to recruitment of experts (HR), definition of relevant procurement processes (tendering documents - procurement) logistics related activities (administration).
