Support Services Officer - Logistics

Under the guidance and direct supervision of the Support Services Manager, the incumbent will perform the following functions:

A. Logistics 

• Provide support during the acquisition of materials to be purchased, when applicable, consult with suppliers, end users on quality, quantity, specifications, delivery timelines, product guarantees/warranties as per the UNOPS guidelines.
• Review internal reporting & monitoring tools for logistics procedures for the programme.
• Assist the Support Services Manager with customs clearance procedures for specialized products/equipment under weapons ammunitions management and explosives ordnance disposal.

B. Asset Management and Warehousing

• Maintain sound asset and inventory control system in accordance with UNOPS Asset Management Policy utilizing the approved ERP for Mine Action.
• Ensure filing system to include all equipment information, maintenance schedules, and inventories of assets, equipment and consumables are properly recorded, monitored and updated.
• Ensure adequate stock of supplies at all times and ensure proper procedures are followed when issuing supplies. This includes preparing receipts and inspection reports for incoming equipment and supplies, maintaining an up-to-date inventory record.
• Keep track of equipment movement and maintain receiving and issuance vouchers.
• In coordination with the Support Services Manager, conducts frequent checks on equipment utilized in the field by implementing partners.
• In liaison with Asset Management assistant, ensures accurate preparation, maintenance and update of the assets management database for projects;
• Assists the Support Services Manager to organize and conduct annual physical verification and spot checks of equipment.
• Assist the Support Services Manager to implement a disposal plan in accordance with UNOPS policy of unserviceable assets and expired/damaged stock, and adhering to donor regulations.
• Assist the Support Services Manager in compiling of logistics reports.

C. Transport Management

• Ensure that UNOPS vehicle movement guidelines are implemented and personnel using vehicles are briefed on the procedures and guidelines.
• Assist in maintaining fuel supply mechanism and providing monthly fuel consumption reports for vehicles and generators.
• In liaison with the Transport team, prepares vehicle/generator service schedules ensuring adequate vehicles for use at any time.
• In coordination with the Support Services Manager, oversee all processes and procedures used as well as keeping the team informed on new policies and changes to Logistics related policies.

• Advanced University Degree (Master’s Degree or equivalent) with 2 years of relevant experience. Or

• First Level University Degree (Bachelor’s Degree or equivalent) with 4 years of relevant experience. 

• Relevant experience is defined as experience in logistics, procurement or supply chain management.
• At least 1 year of experience in Asset Management and Transport is required.
• Knowledge of MS office software is required.
